Request for Proposal for SSE Website Design, Implementation and Management Services

Project Overview

The Society of Surgical Ergonomics (SSE) is seeking a qualified vendor to modernize its digital presence through website redesign, implementation, and ongoing management services.

Founded in 2021, SSE is a scientific organization focused on advancing research, education, and collaboration around surgical ergonomics. The new website will support the society’s mission by improving communication with members, streamlining membership management, and strengthening its visibility within the surgical and healthcare communities.

The project also includes opportunities to support SSE’s social media presence and digital communications strategy, helping the organization grow its community and share educational content.

Scope of Work (Requirements)

The selected partner will provide services across three primary areas:

1. Website Design & Management

  • Redesign the existing WIX website with improved usability and functionality
  • Implement a modern, easy-to-manage content platform
  • Integrate social media channels into the website
  • Develop a member-only portal containing resources, guidelines, recordings, and templates
  • Provide documentation and simple SOPs so SSE leadership can update minor content
  • Deliver ongoing website maintenance and technical support

2. Membership Management System

  • The new website must include functionality to manage the society’s membership lifecycle, including:
  • Online membership sign-up and payment processing
  • Automated renewals, receipts, and membership confirmations
  • Member database and demographic data collection
  • Tools to monitor membership trends and identify non-renewing members
  • Secure data handling and privacy protection

3. Member Communications

The vendor will implement systems to improve member engagement and communications:

  • Quarterly newsletter system integrated with the website
  • Automated email workflows including welcome emails, renewal reminders, and event announcements
  • Email platform integrations (e.g., Mailchimp, Substack, HubSpot)

Optional Scope: Social Media Management

SSE also invites proposals for optional social media services such as:

  • Annual social media strategy and monthly content calendar
  • Content creation including graphics, short videos, and visual templates
  • Scheduling posts across X, LinkedIn, Instagram, and TikTok
  • Monitoring engagement and growth metrics
